Who we are
David Newcombe trading as Doorstep Device Repairs is responsible for customer booking and business records. Contact our Facebook Page, WhatsApp 07484 371601 (currently displayed as PresGro), or Newton House, Newton Road, Sudbury, CO10 2RS about your information.
Information we use and why
We collect contact/appointment details, messages, device model and necessary identifiers, fault history, quotes, authorisations, test results, payment records and relevant condition photographs. Normally you provide these directly. If another person books for you, we confirm the details with you before work.
We use information to quote, arrange and perform repairs under our contract or steps you request before it. We retain accounting information to meet legal obligations. Necessary fault records and limited condition photographs also support our legitimate interests in resolving complaints and evidencing work fairly. We minimise what is recorded and balance this against your privacy. Optional marketing photos require separate consent and are not a booking condition.
We do not browse unrelated files. For an agreed migration we access only what is needed and, wherever practical, transfer directly between your drives without keeping our own copy. We explain unavoidable access and seek your specific instructions before starting. Please tell us if a device contains employer-controlled, highly sensitive or third-party confidential information; we may need different arrangements or decline the job.
Sharing and security
Customer job records and condition photographs are kept securely on a dedicated storage computer. We use Facebook Messenger and WhatsApp for enquiries and bookings, and Stripe for card/link payments. Cash payments are recorded in our accounting records. WhatsApp Business currently displays PresGro; please identify your enquiry as Doorstep Device Repairs. These platforms process information under their own privacy notices as well as any applicable service agreements. We may share necessary records with an accountant, professional adviser or authority where justified or required. We do not sell customer data or add repair customers automatically to marketing lists.
Meta/WhatsApp and Stripe operate internationally, so platform data may be processed outside the UK. Their notices describe destinations and applicable safeguards, including relevant contractual safeguards and adequacy arrangements. We do not claim all information stays on our local computer or within the UK. You can contact us for help obtaining details: Meta privacy, WhatsApp privacy, Stripe privacy.
Access to our records is restricted to what is needed for the service. We do not request passwords in ordinary messages or keep full card details in job records. Customers enter passwords themselves wherever possible. We access device contents only as necessary for the agreed repair or expressly authorised migration. We cannot promise a third-party messaging platform has no security risks.
Retention
Our record-retention schedule:
| Record | Retention |
|---|---|
| Enquiries that do not become jobs | Delete from records we control after 90 days unless an active enquiry requires longer |
| Temporary access credentials | Avoid recording; remove any necessary temporary record at handover |
| Temporary customer-data copy | Only if specifically agreed; encrypted, deleted within 7 days of verified handover unless another period is expressly agreed; no routine cloud backups of these copies |
| Condition photographs | 12 months after completion unless needed for a live complaint/claim |
| Core quote, contract, authorisation and work records | 6 years after completion for contract/claims purposes; review and remove unnecessary detail |
| Tax/accounting records | At least 5 years after the 31 January filing deadline for the relevant tax year, longer if legally required |
A legal hold or live dispute can require relevant records to be retained longer; we review this and delete when no longer needed. Meta and other independent providers may retain their own records under their policies. We do not promise to erase their independent copies.
Your rights and complaints
Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability, and object to uses based on legitimate interests. You can withdraw consent for optional uses without affecting earlier lawful use. Some information must remain for legal obligations or claims. We do not make solely automated decisions producing legal or similarly significant effects about you.
Contact us first so we can investigate. You can also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/ or telephone 0303 123 1113.
Using this website
The enquiry builder prepares a message in your browser. It does not submit the form to us or save it in cookies or browser storage. Opening the WhatsApp link shares your prepared message with WhatsApp; you then choose whether to send it to us there. Alternatively, you can copy the text and paste it into Messenger. The website uses no advertising trackers or analytics. Hosting providers necessarily process basic connection information to deliver the website.
